Pipeline Overview

Pipeline is a single list of every customer job — the inquiry, the quote, the booking, and the money — instead of jumping between Leads, Quotes, Events, and Invoices to reconstruct the same story. A job is created when a lead comes in or when you book an event directly. Existing records were backfilled, so you should already see your current work here.
Pipeline is available when it’s enabled for your organization. If you don’t see it in the sidebar, ask your admin. Viewing it also requires permission to view leads.
Pipeline sits next to Leads in the sidebar. Leads is still the place to work an individual inquiry (stage, tags, notes, and quotes). Pipeline is the cross-record view of that same work: phase, events, and payment status on one row.

Opening Pipeline

Go to Home > Pipeline. The page subtitle is Every customer job from first inquiry to final payment. Use Table or Board in the top-right to switch layouts. Filters and the phase tiles stay the same in both views.

Phase Tiles

Five tiles across the top summarize the list and act as filters. Click a tile to show only those jobs. BALANCE DUE is a money filter, not a fourth phase. It includes any job that still has unpaid or partially paid invoices.

Table View

Each row is one job. Columns are:
  • Customer — contact name and company
  • Phase — Lead, Quote, or Booking, with a three-segment bar and a short status (for example, Quote sent or Booking · pending deposit)
  • Events — the date range and a short event summary
  • Payments — quoted or invoiced amount, with a bar for each installment
  • Owner — the teammate assigned to the lead, when there is one
Click a row (or the customer name) to open that job. Hover or click Events or Payments to open a popover without leaving the list:
  • Events on this job — each event’s type, date, guest count, location, and stage
  • Quotes on this job or Invoices on this booking — each document’s amount and status, plus how much is still outstanding
You can change the owner from the Owner column when the job is tied to a lead — the same assignee control as on the lead itself. Click a column header to sort by customer, phase, first event date, quoted amount, or owner.

Board View

The board uses eight columns, in this order:
  1. 01 / NEW
  2. 01 / IN PROGRESS
  3. 02 / QUOTE SENT
  4. 02 / DECLINED
  5. 03 / NOT INVOICED
  6. 03 / PENDING DEPOSIT
  7. 03 / CONFIRMED
  8. 03 / COMPLETE
Selecting a phase tile hides columns that don’t belong to that phase, so 01 / LEAD shows only the two lead columns. Each card shows the customer, company, events, payment status, and owner. Click a card to open the job.
The board is for scanning stage and money. Drag-and-drop between columns is not how you move a job — change the lead stage, send a quote, or collect a payment, and the column updates from that.

Filtering

The toolbar under the tiles lets you narrow the list:
  • Search — customer name, company, or quote number
  • Event date — a From / To range for the first event
  • Owner — one teammate, or every owner
The right side of the toolbar shows how many jobs match (for example, Showing 12 of 40 · Lead). If a filter returns nothing, Show all records clears the tiles and toolbar filters together.

Job Detail

Open any job from the table or board. The page is an early overview of that customer, not a replacement for the lead, quote, or event pages. You’ll see:
  • A title, status badge, and a one-line summary of the first event (date, guest count, venue)
  • A three-step Lead / Quote / Booking progress bar
  • Events on the job, with stage badges
  • Activity for that job
  • The customer name (links to the contact) and company
  • Portal link when the job is tied to a lead — copies a customer portal URL
  • Links through to the lead and the latest quote when those records exist
Use those links when you need to edit the inquiry, change a quote, or work the event.

Best Practices

  1. Start the day on Pipeline — the tiles tell you how many leads are new, how much is still quoted, and what balance is due before you open individual records.
  2. Use BALANCE DUE when collecting — it is the fastest way to see every job that still owes you money.
  3. Keep owners current — the same assignment you set on a lead shows here, so the table stays honest about who owns the follow-up.
  4. Hover Events and Payments before you click in — most triage questions (when is it, what’s unpaid) are answered in the popover.
  5. Treat Leads and Pipeline as a pair — Pipeline for the portfolio, the lead page for notes, tags, and sending the next quote.
  6. Don’t expect the board to be a drag-and-drop kanban — stage changes still happen on the lead, quote, invoice, or event.
